As upload functionality is a significant component of Onware, our internal testing incorporated testing Onware’s usability and functionality in older versions of the Browsers that we support – Internet Explorer, Firefox, Safari and Google Chrome.

Onware’s Minimum Requirements have been updated to reflect our testing.  As of version 7.14, Onware now supports:

• IE version 8 and above
• Firefox version 16 and above
• Safari version 5 and above
• Chrome version 19 and above

Of the above, IE 8 is the least desirable due to it’s limited support for HTML 5. As Onware continues to add or ehance functionality, taking advantage of HTML 5, these may not be available for those people accessing Onware using IE 8.  The Onware software will continue to operate in IE 8, however the experience will be limited.

For example, with the Drag and Drop feature, people using Onware on IE 8 will no longer be able to upload multiple files at once.  Instead, they will have to upload files one at a time.

Those using older versions of Firefox and Google Chrome will not experience limited upload functionality.

What version of Internet Browser am I using?

The below steps will help you to determine which version of Internet Browser you are using.

1. Open the Internet Browser.
2. Find and select the menu that is named after the browser.
   For example: About Mozilla Firefox.
3. A dialog box will appear listing the Browser version.

Preferences

When an Onware account is created, the person is automatically added to the “Member” Group Access.

Project Edit

It was identified that a “Lot number” field was missing from the Location area of the Project.

Active Items Report

Based on feedback, we have enhanced the Active Items report to include filters for disciplines (for RFI’s), divisions (for Submittals) and a person filter – allowing specification of which Contract Administrator or Partner In Charge to generate the report for.

Change

Copy a Change

A “Copy Change” feature is available from the Change Search/Browse page’s “Select an Action” drop down list.  A Change can be copied at any status.  Once copied, the new Change will have the “initiated” status and will only include any attachments (uploads) to the Change (no linked documents).

Requested by person selector

In order to identify where the request for a Change originates from, we have included a “Requested by” field.  This field will display on the standard form.

Unsolicited Change Request

An Additional status “Not Accepted/Invalid” has been added to UCR’s, to allow further clarification.

Progress Claim

Based on user feedback, we have included the Change Order status in the Associated Changes table of the Progress Claim.

E-mail Subscriptions

Identified Issue: It was noted the RFI “return to issuer” status, which is no longer used, was displaying as an option for E-mail Subscriptions.

Project Search/Browse

Identified Issue: The ability to Edit a Project by Number was confusing for our customers, as they attempted to use it as a search mechanism.  Onware decided to remove this functionality.

Meetings

Identified Issue: Meeting attendee status was lost when a new contact was entered.

Identified Issue: Tasks carried over from previous meeting show all assigned people as “not on project”.

Project Summary

Identified Issue: Submittal count displaying incorrectly.

Preferences

Identified Issue: Login ID does not save when selecting “Save”, must use “Reset Password” button.  Adjusted so Login ID will save using the “Save” button.

Standard Form

Identified Issue: Progress Claim’s distribution list was displaying Supplemental Instruction distribution list.

Quoting on a Change Directive

If a Change Directive is not associated with a Change, you can now “Issue for Pricing” – requesting pricing from the General Contractor!

The original Change Directive workflow has been supplemented with the Quotation workflow.  In other words, the Change Directive Owner Approval workflow will work in parallel with Change Directive’s using Onware’s Quotation workflow.

A priced Change Directive can now be associated with a Change Order – just like a Change!

Standard Form

The Transmittal form has been updated to display the “Action Taken” field on the form.

The Quotation form has been updated to display the “Reason for Re-quote” as well as links to any Quotation Recommendations, if present.

Site Visit

Identified Issue: Standard report generated error when loading.

Identified Issue: Manipulate Items tool generated error when loading.

Identified Issue: The “Select an Action” drop down option of “Copy” generated an error when attempting to copy the required Site Visit.

Change Order

Original Contract and Previous Changes now have “Update to Current Value” buttons next available.  Selecting the button(s) will overwrite the amounts entered or displaying with the current values calculated automatically by Onware.

Request for Information

Identified Issue: RFI Standard report may display inaccurate response time calculations due to some RFI’s not having dates entered.

Identified Issue: When a General Contractor accesses a “Returned to Initiator” RFI, the General Contractor should have two options: (1) Close the RFI; (2) Ask a New Question.  It was identified that the General Contractor also had the ability to issue a response, which did not follow the Onware RFI Workflow accurately.

Progress Claims

Identified Issue: Date of Issue displaying on the Standard form was retrieved from the Period End date entered.  Date of Issue should be retrieved from the Date of Certificate entered.

Submittals

Identified Issue: Submittal Standard report can generate an error when Submittals do not have a priority entered.

Identified Issue: During the 7.11 upgrade, Onware converted any initiated Submittals which did not have a Division set to an “unknown” number, to ensure they were not lost during the upgrade.  After the upgrade, the “unknown” Submittals were unable to be deleted.

Standard Form

Change, Change Directive, Progress Claim, RFI and Quotation standard forms have been re-written into our standardized platform, incorporating all fields which can be entered in the document edit to display on the printed form.

We have also updated the Transmittal form to include the phone number for the “To” and “CC” people.

Submittals

If a Transmittal is cancelled, it will now display in strikethrough (ABCD) so it can be identified as no longer applicable.

E-mail

We have added the ability to cancel an e-mail, within the E-mail Log, from sending.

Change Directive

We are now displaying the Contract number in the Standard Report, making it easier to differentiate between Contracts.

Resolution: Adjusting previous contract amounts are now saved once the Change Order is saved, issued or a print preview is selected.  Revised Contract amount will now automatically calculate.

If you click on the headers on top of each table, you will be taken to the browse screen, where you can drill down and see additional reports.

If you click on the item itself, you will be taken to the printable view of the item, giving you all the detail on that specific entry.

Receive it by E-mail

If you want to receive the report by e-mail, Onware can generate a PDF and send it to your inbox. All you have to do is click on “Preferences” in the top-right corner of any Onware screen.

You will see the following check box in your list of preferences:

Just check it off and hit “Save”.

The delivery schedule for e-mails will be set by your Onware administrator.

Onware has refreshed and enhanced the look and feel of our screens.

Person Selector Field

We have included the person’s primary discipline, set in the person’s Preferences, to their name when using the person selector field.  Also, we now list people’s names via their last name first, first name.

“Return to Initiator” action has been included in the “Select an Action” drop down list, allowing the ability to return multiple RFI’s to the General Contractor at once.

Submittals/Transmittals

Workflow

The Submittal/Transmittal workflow has been simplified and revised slightly.  We have updated the Onware Submittal/Transmittal work flow diagram to reflect these changes.

Alerts

When a Transmittal is issued, the person set as the “To” individual within the Transmittal will receive an e-mail of the Transmittal and Submittal.  Within Onware, the person will also receive a Submittal alert on their Main Menu and Alert List.  As the alert is sent to the individual to Transmittal is directed to, only the individual can action the alert.  Upon selecting the Submittal alert, the person is automatically directed to Submittal review page, allowing them to review the Submittal and (1) create a new Transmittal; (2) Forward; or (3) Reply to the Transmittal.

Details of re-design

• Transmittals cannot be issued without being associated with a Submittal
  • Attachments are automatically pdf’d when included in a Transmittal E-mail

• Transmittal emails subject line will display as:

• When selecting a Transmittal’s “To” or “Copy To” person, there are multiple ways the person can be searched:

  • Person’s name (first or last)
  • Company name

• When searching a “To” or “Copy To” person on a Transmittal, names may appear in color
  • Green – Indicates the person has previously been sent a Submittal on the project
  • Red – Indicates the person has previously been sent this Submittal

• A Submittal cannot be closed if there is an Initiated/Unissued Transmittal associated with it
• When a new revision is created on a Submittal, Onware has restricted the ability to change the Division or document number, to ensure audit ability
  • When a new revision is created, the previous revision will be automatically Closed

• Transmittals can now have E-mail Subscriptions added
  • Email subscriptions will create the “Copy To” list for the transmittals

Things to Consider during the Upgrade

• When the Onware update occurs, Onware will create multiple Submittals, one for each Revision, for Submittals created before the upgrade that includes Revisions.  This is necessary to have previous Submittals updated to match the new Submittal structure.
• Transmittals E-mail links created prior to the upgrade will not accurately direct to the documents.  Please direct Onware users to access the documents from within Onware.
• Only Transmittal/Submittals created after the upgrade will have alerts created.  Transmittals/Submittals created before the upgrade will not have alerts created during the upgrade.  Onware users will need to access the Browse/Search page to “edit” these as required.

Quotation Recommendations

In our effort to standardize E-mail Subscriptions, we have included the Quotation Recommendation documentation in the Quotation, Closed status, E-mail Subscription.

Quotation Recommendation

The Quotation Recommendation, when viewing the Standard form, now includes a signing line, including electronic signatures (if uploaded into Onware) as well as the date the Quotation Recommendation is issued (Accepted or Rejected).

Site Visit

The Site Visit document will display the temperature (external and internal) as well as the humidity.

Identified Issue: Handle an item when it had been assigned to someone but the person has been removed from the project.
Resolution: If Onware recognizes the person who was previously assigned an item is no longer with the project, an additional entry will be added to the drop down list of options for that person.  The entry will be with “Not on Project”.  Another person can be selected or it can be left as is.

Supplemental Instruction

Identified Issue: If the setting “SI – Owner Approval” is turned on in the project, the General Contract can Acknowledge the SI before the Owner Approves.
Resolution: Corrected the access on the SI Browse/Search page.

Change Order

Identified Issue: When Contingency type contracts have been created in Change Orders, the Standard report generated error.
Resolution: Corrected error.

Request for Information

Identified Issue: Unable to return RFI to initiator from RFI Browse/Search page.
